Job Description
About the Role
As a leader in our field the Transition Project Manager is accountable for end-to-end delivery of client onboarding and offboarding transitions across Managed Funds, Listed Company Registry, and Employee Share Plan (ESP) services.
This role leads complex data migrations, oversees system configuration and integration activities, and governs delivery execution to ensure operational readiness, regulatory compliance, and seamless cutover.
The position requires deep understanding of registry operations, CHESS requirements, managed fund unit registry processes, and ESP administration platforms.
Key Responsibilities:
Transition Delivery & Project Governance
Lead transitions end‑to‑end, from initiation through to hypercare and ensuring every milestone lands on time.
Build and manage project plans, RAID logs, dependency maps, and the critical path with precision.
Drive effective governance forums including SteerCo, Working Groups, and Cutover Planning.
Control scope, change, and delivery commitments in line with contracts.
Bring together cross‑functional SMEs (Data, Registry Ops, Corporate Actions, Payments, CHESS, IT) to deliver seamlessly.
Provide sharp, executive‑level reporting highlighting risks, impacts, and mitigation strategies.
Ensure all transition activity aligns with ASX, ASIC and client compliance requirements.
Data Migration Strategy & Execution
Define and own the full data migration strategy from extraction, transformation, validation, loading and reconciliation.
Lead data‑mapping sessions with incumbent registries and administrators to uncover complexities early.
Produce and govern detailed specifications across investor registers, balances, transactions, tax components, ESP data, and corporate actions.
Oversee data quality profiling, reconciliation processes, and tolerance thresholds to safeguard accuracy.
Coordinate dry runs, mock migrations, and parallel reconciliations to validate readiness.
Ensure final cutover readiness, including balances, settlements, and corporate action timing.
Authorise data integrity for go‑live with confidence.
Regulatory & Operational Readiness
Uphold regulatory standards including CHESS, AML/CTF, privacy, and data security obligations.
Ensure all operational playbooks and supporting documentation are complete and handed over to BAU teams.
Lead training, knowledge transfer, and readiness activities to prepare operational teams.
Oversee cutover weekend execution and deliver structured, effective hypercare.
Stakeholder & Client Management
Act as the primary contact for clients and incumbent providers throughout the transition.
Build strong relationships with Fund Managers, CFOs, Company Secretaries, and HR leads.
Negotiate data delivery schedules, manage competing priorities, and resolve technical issues quickly.
Communicate complex technical concepts in clear, commercial terms tailored to each audience.
Desired Skills and Experience
About you!
To be successful in this role, we are looking for someone to bring:
5–10+ years’ experience in registry, fund administration, or financial services transitions.
Proven delivery of complex data migrations.
Experience configuring registry or fund administration platforms.
Strong Excel/data interrogation skills.
Demonstrated governance and reporting capability.
Desirable
Exposure to ASX-listed registry environments.
Employee Share Plan administration experience.
Formal project management qualification (PMP, PRINCE2 or equivalent).
Experience with CHESS operations.
